View Full Version : Need help, transposing data in Access to Excel

I have to work on a project tomorrow where I'll be transposing data from MS Acesss which I'll need to move into Excel. Is there a proper or easy way to do this? I don't know if it's as easy as copy and paste but I want to prepare for this knowing what I have to do. Any idea or suggestions I would really appreciate it.

yeah, access uses cells, if you're simply working with the tables...copy paste..no need to even export.

Thanks for the info I really appreciate it. Hopefully it's just copy and paste work, but if not it's good to have the info Katja linked.

If you want to paste columns as rows or vice-versa, use the Paste Special option in Excel. There's an option to Transpose there.

If you're dealing w/ minimal rows of data then copy and pasting is better.
You'll lose some formatting but that's easily fixable.
If it's something you'll being doing constantly ( pasting it into Excel ) you may wanna make a macro in Excel that will format the data as you want it.

Be aware that Excel only holds about 65,000 rows or so - if your Access data table is larger than that you will lose data. If you find that you are having issues with missing data/odd handling of characters like quotes, etc, you may want to export the file from Access as a tab delimited text file and than import that text file into Excel. Working with large datafiles that was the most reliable for me.

Sometimes .csv work when you have problems with copy paste. Not sure what kind of data you are working on but if you have numbers with leading zeros you need to pay close attention to formats, those can be a real bitch. Did Excel 2007 expand row capacity to 160k rows? I kept running into out of rows issues earlier this year and had to find ways to parse data out so it would fit.

I had no idea. I think mine is from Office 2000 era. That may be worth an upgrade for me.

I'm stuck with 2003 but I heard this was an upgrade with the 2007 version - anybody know for sure? I kinda want to upgrade for that capability too.

I think 2007 has a million rows.
I'm not sure how many columns though.
